Certificates and registered
names
It is your responsibility to ensure that your name during your
time at the University has been registered correctly on the Student
Portal (University Academic Information System).
The name recorded is exactly the name that will appear on your
certificate and the departmental pass list. This is the
University’s official record of your graduation.
Therefore it is important to ensure that your
name is identical to that shown on your birth certificate, national
ID card, passport, etc. If you are an undergraduate any change to
your registered name must be notified to your department well in
advance of the ceremony and before the formal approval of your
award. Unfortunately, it is not possible to change or amend names
after you graduate and the certificate has been issued so please
make sure that your name was correctly recorded when you registered
at the beginning of your last academic year.
If you list names on your graduation reply
form which differ from those registered on the Student Portal
(University Academic Information System), these will not be
included on your certificate unless changed through your department
well in advance of the ceremony and before the formal approval of
your award. Please note that the formal approval date is not the
graduation date.
If you are a student from a country where names are shown in a
different order from the norm in the UK, Student Administrative
Services (Graduation) can ensure that your names are printed on
your certificate in the order that is conventional in your home
country. So that requests can be processed in time, you must
indicate this on the reply form or email us stating the
order of names you require. We need at least five weeks’ notice to
process this in time for your graduation. Please note that Student
Administrative Services (Graduation) is only authorised to amend
the order of names – we cannot add, delete or change the spelling
of names already recorded on the Student Portal.
Dispatch and collection of certificates
If you are attending the ceremony you will be presented with
your certificate on the day. For those not attending and graduating
in absentia certificates will be sent out to the address provided
on your reply form in the week beginning 23 July 2012.
However, if you wish to collect your certificate in person or
authorise someone to collect it on your behalf after the ceremony
you will need to give advance notice of this by completing a
certificate collection
form at least three weeks before the ceremony. The person
collecting the certificate will be required to produce some
personal identification, together with a letter of authorisation
from you. Certificates will only be available for collection from
the Customer Service Desk, 2nd floor, University House following
the graduation ceremonies and will not be available for collection
before the ceremony is held.
Certified true copies of certificates
Please take care of your certificate as only one original is
produced. If you lose your certificate or it is badly damaged and
you need a certified copy, you can apply in writing via email or you can visit the
'Your Graduation' web pages and download a
copy of the Certified Copy Certificate Application Form. Copy
certificates cost £30.00. Please complete payment details on the
application form or write a cheque for the appropriate amount,
payable to ‘The University of Hull’. Please send applications and
payments to Student Administrative Services (Graduation),
University of Hull, Hull, HU6 7RX.
Authenticated photocopies of certificates
If you require an authenticated photocopy of your original
certificate, you will also need to send a photocopy of your
original certificate (if requested after graduation) with your
application. You can apply in writing to Student Administrative
Services (Graduation) via email or you can visit the
'Your Graduation' web pages and download a copy
of the Certified Copy Certificate Form. Authenticated photocopies
cost £3.00. Please complete payment details on the application form
or write a cheque for the appropriate amount, payable to ‘the
University of Hull’. Please send applications and payments to
Student Administrative Services (Graduation), University of Hull,
Hull, HU6 7RX.
